Privacy policy
This policy describes Yuki Japan, a personal trip-planning app operated by Colin Yang for a private Discord travel group.
Google data the app accesses
With the owner's authorization, the app uses Google's drive.file permission to access specifically selected files and files created by the app. Its tools are restricted to the designated trip spreadsheet, trip output folders and registered generated documents. This can include itinerary details, participant names, travel preferences, budgets, flight proposals and meeting notes entered into those files.
The app reads file metadata and requested content, updates trip planning information, creates and edits trip documents, and organizes authorized output folders. It does not request general access to the owner's entire Google Drive.
How information is used and shared
Selected Google file content and relevant Discord messages may be sent to OpenAI, the app's AI service provider, to answer requests and prepare summaries. Replies may appear in the requesting Discord channel. Generated documents remain subject to their Google sharing settings. Participants with access to those destinations can see the resulting content.
Flight research sends public search parameters, such as airports, dates and traveler counts, to the configured flight-search provider. It does not send Google credentials or the contents of trip files to that provider. The operator does not sell Google user data or use it for advertising.
Storage and retention
OAuth credentials are stored privately on the operator's infrastructure and are not included in model prompts or Discord messages. Private conversation histories, document-export jobs and operational records may retain content needed for the app's operation and continuity. Protected recovery backups may retain earlier copies.
Spreadsheet edit snapshots expire after five minutes and are cleared during subsequent snapshot operations. Meeting audio is temporarily retained for transcription and removed after processing; resulting transcripts and exported notes may remain. Google files remain in the owner's Google account until the owner removes them.
Your choices
The Google account owner can revoke the app's connection at Google Account connections. Revoking access stops future authorized Google API use; it does not automatically delete existing Discord replies, Google documents or recovery copies.
For access questions or deletion requests concerning app-held records, contact yangcolin.y@gmail.com. The operator will identify the relevant records and explain any recovery copies that remain under the applicable backup retention.
